// 01the situation

Leads arrived from a website form and from marketplace email, and both landed in an inbox. An inbox is a queue, and a queue is where a car deal goes to die: the buyer who filled out that form is filling out three more while they wait.

Nights and weekends were the worst of it. A lead submitted at 8pm on a Friday sat until Monday morning, by which point the customer had usually already spoken to somebody else.

// 02what we did

A snippet on the dealer's site catches the submit the instant it happens, before any CRM or inbox is involved. Marketplace leads arrive by email and are parsed on the same path.

A voice agent calls the customer back, introduces itself as an AI, answers questions about the specific vehicle from live inventory, and writes an appointment straight onto the dealer's calendar.

Calls fire only inside legal hours in the customer’s own timezone. A lead that arrives at 2am is held until morning rather than dialled, which is the guardrail working, not a failure.

// 03what changed

Every lead is caught the moment it arrives, seven days a week, and the ones that land overnight are first in the queue when calling hours open rather than last in an inbox on Monday.

The dealer's staff stop competing with the clock and start their day with appointments already on the calendar rather than a backlog of cold form fills.

Calls that reach a voicemail leave one, and the customer gets an email they can reply to, so a missed pickup is not a dead lead.

// what this does not prove
  • These count appointments written to the calendar, not cars sold. We do not have visibility into what closes on the lot, and we would rather say so than publish a conversion number we cannot stand behind.
  • This is one dealer over roughly five weeks. It is a real deployment, not a pilot in a lab, but it is a sample of one.
  • Calls placed is higher than leads because it includes retries and scheduled callbacks. It is not a count of distinct customers.

Optional. It’s how we make sure we only call at legal hours where you are.
